What is one of the most important tools you will need for your business to be successful? Most people in business would throw out there a computer, a reliable multi-functional printer and scanner or maybe you would even consider an employee a great tool. But did you ever think of how any of that could be possible without business phone systems? Without phones, no customers could call for information, book appointments, place an order and ask for directions on your location.
Having a great phone system will also make life easier for yourself or any employees if you have them. The phones should have a great message to greet customers, a friendly sounding voice tree to direct them on what department they need and an easy to use voicemail system so they can get right to that department if they so desire. Most people complain about a phone tree, but if you listen closely to their complaint it isn’t the phone tree itself, but an inefficient one where they are pressing all kinds of buttons and not reaching their desired location in a quick manner.
You could choose to have phones come right in to one receptionist, but it would make for a lot more work for them that was unnecessary. Phone messages can direct a call to the right area if they want to get the latest gadget from the sales department or if they want to consult with the marketing department on the latest news on the NASCAR circuit. When a call is guided to an area, it makes it more efficient for the caller. And then the receptionist can greet people who are walking in the door and perform other needed functions instead of looking in a phone directory and routing calls all day long.
